061009: Optical Works gets SAP software solution

GERMAN software solutions giant SAP announced last week that one of the Philippines’ largest optical store chains, Optical Works, has licensed the software company’s Business One software to streamline Optical Works’ operations.

Optical Works has selected Clersys Philippines Inc., an SAP channel partner, to implement the software throughout the Optical Works system to upgrade the optical shop chain from manual inventory tracking and encoded financial data consolidation to an automated computer network linking all 12 Optical Works stores, so that these vital systems will transmit real-time data, enabling the firm to make better and more timely business decisions. This software solution comes bundled with a training program for the firm’s 65 employees.

Optical Works comptroller Alfred Go said the company started out with seven stores in Metro Manila and has now nearly doubled its number of stores to 12. “We’re expanding,” Go added, saying they intend to have 14 branches in operation by the end of the year. “This is why we have entered into this deal with Clersys to obtain an SAP solution, because, if we keep using manual [data-entry and tracking methods], we will be overwhelmed with the work.”

The Business One solution will cover Optical Works’ inventory system, financial data tracking and analysis and will include third-party human resource software for use with payroll and personnel records. The upgrade is set to go live by September, Go added, and Optical Works is investing P1.1 million in the upgrade.

Optical Works president and chief executive officer Noel Casaje said his firm “used to prepare financial, management and sales reports individually. This often led to inaccuracies in our inventory reports and financial figures, as well as delays, since it took a long time to generate these reports.” Casaje added that Optical Works plans to “extend the latest and most modern approach to the practice of optometry to our local clientele in a creative, innovative but standardized [way]. To realize this, we need to streamline our operations.”

“We foresee that, with this upgrade, our data will be more timely and up-to-date,” Optical Works finance officer Ethel Zalameda said. “So far, we have been one and a half months delayed in updating our consolidated reports from all of our branches. If there is a loss on one of our branches, we don’t know about it until we get the report.” Zalameda added that computerized cash registers and customer sales records will be implemented through a modern point-of-sale system soon after the Business One upgrade. “As for financial monitoring, we cannot go into detail about the company’s daily financial status using the old system.”

According to Zalameda, the upgrade should improve Optical Works’s cash flow by minimizing lost opportunities and provide more synergy between the firm’s head office and its branches, as well as increase efficiency at a branch-to-branch level. They also expect the implementation of Business One to “cut down on manpower and associated costs, since the reports generated using this software will be completed faster.
